AVIXA ("AVIXA," "we," "our," or "us") provides this Privacy Notice to describe how we collect, use, share and otherwise process personal data from individuals who visit our websites at https://www.infocomm-americalatina.org/ or www.xchange.avixa.org or any other website or application that is linked to this Privacy Notice (collectively, the "Sites").
Information Gathering
We collect information that you provide to us when you visit our Sites, including your name, address, email address, telephone number, payment information, education, product purchases, employment information and any other information you choose to provide to us. We may collect this information through registrations on the Sites, event registrations, surveys, applications, subscriptions or any other method. We also collect information if you post messages in our forum, communicate with us by email, or make posts in our chat areas. If you apply for an AVIXA scholarship or grant or apply to become an AVIXA member, employee or volunteer, we collect information you submit during the application process, including your date of birth and other identifying information.
We collect information related to your interactions with us and our Sites, such as browser type, IP address, device type, aggregate information about which pages you access or visit, your location, and other information we collect through the use of cookies and similar technologies. Please see the "Digital Advertising and Analytics" section of this privacy policy for more information about the use of this information and the choices available to you.
Use of Information
We may use the information for any lawful purpose, including the following:
- To deliver content on our Sites, including improving the content on our Sites, as well as its advertisements, notifying visitors to the Sites about updates and recognizing visitors to the Sites;
- To provide membership directories;
- To deliver products and services you request, including membership benefits and subscriptions to our publications;
- To advertise and market products and services that we believe may be of interest to you, including through mail and telephone methods;
- To process applications;
- To respond to your inquiries or en/contact you according to your request;
- To operate, customize and improve the Site, including for analytics purposes;
- To protect the security of our interests, including our premises, assets and systems;
- To comply with the law; or
- With your consent or as disclosed at the time the personal data is collected.
Information Sharing
We may share the information we collect with other parties, including:
- With our members, including through publicly available directories;
- With affiliates, joint venture partners and sponsors of digital and live events, digital content (such as videos, articles or white papers) and webinars for their own use, including for marketing and advertising;
- Third-party vendors that process data on AVIXA's behalf, such as event registration companies, email service providers, direct marketing providers, and web hosting providers;
- As part of a corporate sale, merger or acquisition, or other transfer of all or part of our assets, including as part of a bankruptcy proceeding;
- Pursuant to a subpoena, court order, governmental investigation or other legal process or as required by law, or to protect our rights or the rights of others; or
- With your consent or as disclosed at the time of data collection or sharing.
We may share information that has been de-identified or aggregated without limitation.
The Sites may offer interactive features, such as the ability to post in forums or on discussion boards, which you may use to communicate with other visitors to the Sites or to submit and post your own content. If you disclose information in one of these forums, this information may be viewed, collected and used by others.
Digital Advertising and Analytics
We may partner with advertising networks and other advertising service providers ("Ad Servers") that serve advertisements on behalf of us and others on unaffiliated platforms. Some of those ads may be personalized, meaning that they are intended to be relevant to you based on information that the Advertising Providers collect about your use of the Sites and other sites or applications over time, including information about relationships across different browsers and devices. This type of advertising is known as interest-based advertising.
You can visit the DAA Webchoices tool at www.aboutads.info to learn more about this type of advertising and how to opt out of receiving these ads on websites of companies participating in the DAA self-regulatory program. If you delete your cookies or use a different browser or mobile device, you may need to renew your opt-out choices you have exercised through the DAA Webchoices tool. Please note that opting out of ads will not stop ads from appearing in your browser or apps. It may make the ads you see less relevant to your interests.
We may also work with third parties who collect data about your use of the Sites and other sites or applications over time for non-advertising purposes. AVIXA uses Google Analytics and other third party services to improve the performance of the Sites and for analytics and marketing purposes. We do not control the privacy practices of those websites or applications, and they are not covered by this privacy notice. The Sites may also include integrated social networking tools or "plug-ins," such as social networking tools offered by third parties. This section applies to those visiting our site from the European Economic Area, Switzerland and the United Kingdom.
Legal Basis for Prosecution
On certain occasions, we process your personal data when it is necessary for the performance of a contract to which you are a party, such as to provide services you have requested. We may also process your personal data to respond to your inquiries about our products and services.
At other times, we process your personal data when required by law. We may also process your personal data if necessary to protect your interests or the interests of a third party.
In addition, we process your personal data where it is necessary for the purposes of our legitimate interests, including for direct marketing purposes, and where this interest is not overridden by your data protection rights. Where we process your personal data for this purpose, our legitimate interest is to carry out our activities for the benefit of all our employees and members.
If the processing of personal data is necessary and there is no legal basis for such processing, we will request your consent to process your personal data. You have the right to withdraw your consent to the processing of your personal data at any time.

Transfers of Personal Data
Please note that the personal data we collect may be transferred to and maintained on servers or databases located outside of your state, province, country or jurisdiction, where privacy laws may not be as protective as those in your location. If you are located outside the United States, please be advised that we process and store personal data in the United States.
Your Rights
You are entitled to the following:
- Request access to the personal data we hold about you;
- Request that we rectify or delete your personal data;
- Request that we restrict or block the processing of your personal data;
- Under certain circumstances, receive personal data about you that we store and transmit it to another without hindrance from us, including requesting that we provide your personal data directly to another, i.e., the right to data portability; and
- Where we previously obtained your consent, withdraw consent to process your personal data.

In addition, you have the right to file a complaint against us. To do so, please en/contact the supervisory authority in your country of residence.
Conservation
We will process and store your personal data only for as long as necessary to achieve the purpose of storage or as permitted by law. The criteria used to determine the storage period for personal data is the respective legal retention period or for certain marking data for our shows or other products, no longer than four years since our last interaction with you. After the expiration of that period, the respective data is routinely deleted, provided that it is no longer required for the fulfillment of a contract or the initiation of a contract.
Your Options
To update your en/contact information or change your communication preferences, including stopping email, phone or postal mail communication from us, please en/contact us via the methods provided in the "Contact Us" section below.

California Privacy Rights
We may make your personal information available to third parties for their direct marketing purposes. If you are a California resident, you may opt out of having certain data shared with third parties for direct marketing purposes. If you exercise this option, we will not disclose personal information about you to third parties for the third parties' direct marketing purposes. However, we may share information about you with third parties as detailed in this privacy notice.
Mexican Privacy Rights
The personal data we collect from you will be used for the following purposes that are necessary for the service you request:
- Attracting and en/contacting sales prospects.
- Creation of audiences for advertising broadcasting purposes.
- Visitor Remarketing.
In addition, we will use your personal information for the following purposes that are not necessary for the requested service, but that allow and facilitate us to provide you with better service:
- Website visitor statistics.
- Behavioral analysis.
In case you do not want your personal data to be processed for these additional purposes, you can communicate this to us by sending us an e-mail at the end of this document entitled "Use of Personal Data".
The refusal to use your personal data for these purposes shall not be a reason for us to deny you the services and products you request or contract with us.
To carry out the purposes described in this Privacy Notice, we will use the following personal data: Name, e-mail, telephone.
We inform you that your personal data are not shared inside or outside the country and remain our safekeeping.
Access, rectification or cancellation of personal data
You have the right to know what personal information we have about you, what we use it for and the conditions of the use we make of it (Access). Likewise, it is your right to request the correction of your personal information in case it is outdated, inaccurate or incomplete (Rectification); that we remove it from our records or databases when you consider that it is not being used in accordance with the principles, duties and obligations provided in the regulations (Cancellation); as well as to oppose the use of your personal data for specific purposes (Opposition). These rights are known as ARCO rights.
To exercise any of the ARCO rights, you must submit the respective request by telephone or electronically.
To learn about the procedure and requirements for the exercise of ARCO rights, you may call the telephone number at the end of this document; or en/contact our Privacy Department, whose en/contact information is at the end of this document, and where requests for the exercise of these rights will be processed, and will answer any questions you may have regarding the processing of your information.
You may revoke the consent, if any, you have given us for the processing of your personal data. However, it is important to note that not in all cases we will be able to fulfill your request or terminate the use immediately, since it is possible that for some legal obligation we may need to continue processing your personal data. Also, you should consider that, for certain purposes, the revocation of your consent will mean that we can no longer provide the service you requested, or the conclusion of your relationship with us.
To revoke your consent, you must submit your request by e-mail.

In order for you to limit the use and disclosure of your personal information, we offer you the following means:
- Your registration in the Public Registry to Avoid Advertising, which is in charge of the Federal Consumer Protection Agency, with the purpose of not using your personal data to receive advertising or promotions of goods or services companies. For more information about this registry, you can consult the PROFECO's website, or en/contact it directly.
- Your registration in the "Advertising Restrictions" exclusion list, so that your personal data will not be processed for marketing, advertising or commercial prospecting purposes by us. The use of tracking technologies on our Internet portal
We inform you that on our website we use cookies, web beacons and other technologies through which it is possible to monitor your behavior as an Internet user, as well as to provide you with a better service and user experience when browsing our website.
